Education check for qualified employees

With an Education check, we check the diploma of (potential) employees for authenticity and you make sure that (potential) employees have the right experience to perform their work correctly. This is important because in some sectors it is obliged by law to employ qualified employees.

Validata checks the diploma at the highest level of education. Training and course certificates cannot be verified. However, international diplomas can be checked. A few headings below will explain this in more detail. Still curious? Click here for the international diploma check.

Online education check: direct access through DUO

Checking the authenticity and validity of a diploma requires more than just a copy, supplied by the (potential) employee. Validata has a partnership with data supplier Dienst Uitvoering Onderwijs (DUO). This executive institute of the Dutch government oversees and checks diplomas obtained at Dutch educational institutions in a central diploma register.

Privacy and checking a degree

During the education check, privacy is of great importance. During this process, there must always be a legitimate interest. This means that the check is required for the position for which the candidate is applying. The employer must have a justifiable reason to request this information. Only the necessary data for the education check will be requested and processed. Because Validata always takes into account the applicable privacy legislation (GDPR), this data is always handled with care. Only authorised employees have access to this data and it is stored and processed properly. In this way, the privacy of the candidate is guaranteed during the verification of a diploma.

The advantage of our partnership with DUO is the direct contact so that diplomas can be checked rapidly. This contributes to a shorter processing time for the complete employment screening. In addition, the security of personal data can be guaranteed continuously by working together with professional data suppliers.

If a diploma does not appear in the DUO diploma register, Validata will contact the respective educational institution.

Diploma check for foreign studies

International diplomas can also be checked. For this, Validata works closely with Nuffic and Qualification Check. Nuffic is a Dutch independent non-profit organisation focused on internationalisation in education and, like DUO, Nuffic analyses the authenticity and validity of the relevant diplomas. It also checks whether the educational institution is accredited in its country of origin.

International diploma and Dutch equivalent

Lastly, Nuffic and Qualification Check identifies the Dutch equivalent to which the international diploma can be compared. For example, a university or bachelor’s degree. As there are no senior secondary vocational education courses (MBO) outside of the Netherlands, there is no appropriate comparison to be made.

An additional charge applies for verifying an international diploma. You will receive this invoice as soon as Validata has requested the verification from Nuffic. The average processing time is ten working days.

How do I recognise an unvalid diploma?

You can recognise an unvalid diploma in different ways. Often the quality of the paper is different and the prints, such as stamps, deviate from the original documents. It can also happen that a diploma contains unprofessional logos or spelling mistakes. Incorrect layout or forged signatures that do not match the standards of the issuing authorities also occur. In particular, the lack of watermarks, holograms or other security features can indicate a forgery. When checking diplomas, it is always important to pay attention to the details. This way you can verify the authenticity with the issuing institution.

How does Validata check if a diploma is valid?

Validata checks the authenticity of diplomas by verifying whether the document is registered with the relevant educational institution or organisation. Is there a certificate of authenticity on the diploma? This official statement confirms that the diploma was issued by the institution in question. It also checks for other security features, such as unique codes and watermarks that can only be found on the real documents. By using advanced verification methods, Validata ensures that the diploma is verified, complete and correct.
